Time-Off Policies and Guidance
Follow the instructions below to access Self-Service Banner (SSB) from off campus.
- If the employee is enrolled in multifactor authentication (MFA), you may log in to SSB directly from the single sign-on page.
- If the employee is not enrolled in MFA, you must log in to the virtual private network using VMWare before you can log into SSB.
Please confirm your ability to log in to SSB several days before the end of a pay period to prevent delays in payroll processing. Contact the ITS Solution Center if you need assistance.
Colorado College Time-Off Policies Related to COVID-19
Given that the incidence of COVID infection, illness, and death is dramatically decreasing in the United States, further updates may be forthcoming as circumstances change. Please know that all institution-wide decisions are being made with a balance of keeping our community safe while returning working conditions to normal, and with the best-available guidance.
Please visit this page often for the latest guidance on our paid leave policies and guidelines during COVID-19.
Time-Off Policies
CC's sick leave policy for staff is generally equipped to handle contagious illnesses. Unless you are faced with an exceptional circumstance, staff should continue to follow your department's standard practices for requesting time off.
The Colorado Healthy Families and Workforces Act (HFWA) requires the following leave provisions. See the official notice here.
Public Health Emergency Leave
All employees have available a new sick leave bank called Public Health Emergency Leave that will cover you for up to two weeks if you have one of the specific situations listed below. You will find the leave on your timesheet and leave report. If you use the bank up and need additional time (for example, a second exposure) you may use your regular sick leave bank, relief leave, or vacation leave.
- Self-isolating or work exclusion due to exposure, symptoms, or diagnosis of the communicable illness in the public health emergency;
- Seeking a diagnosis, treatment, or care (including preventive care) of such an illness (CC also allows use of this leave for time to receive or recover from the vaccination);
- Being unable to work due to a health condition that may increase susceptibility to or risk of such an illness; or,
- Caring for a child or other family in category (1)-(3), or whose school or child care is unavailable due to the public health emergency.
Accrued Sick Leave
All benefits-eligible staff currently accrue sick leave and have sick leave banks. Prior to 1/1/21 some employees did not accrue sick leave (students, faculty, occasional and temporary employees). Beginning 1/1/21, these employees will also accrue sick leave at the rate of 1 hour for every 30 hours worked, to a maximum of 48 hours. Accrued sick leave may be used for these specific reasons:
- A mental or physical illness, injury, or health condition that prevents work, including diagnosis or preventive care;
- Domestic abuse, sexual assault, or criminal harassment leading to health, relocation, legal, or other service needs;
- Has a family member experiencing a condition described in category (a) or (b); or,
- In a public health emergency, a public official closed the workplace, or the school or place of care of the employee's child.
Relief Leave
Employees were given a bank of 'Relief Leave' in the Fall of 2020 and it was expanded in early 2021.
Since the addition of Spring Break Holidays for staff, relief leave will no longer be offered. Any employee who has unused relief leave on the books will be able to use that until it is gone.
If you have any questions, please contact Laurie Mozingo in HR.
Vacation Leave
Most CC employees accrue vacation (read the Vacation Leave and Accrual page here).
Employees can see their leave balances in Self-Service Banner (SSB). It is under the Employee Tab, then Leave Balances.
If you have questions, please email HRCOVID19@coloradocollege.edu.
Travel Policy
Employees who travel should follow the Travel Policy (read the policy here). If you choose to travel and are required to quarantine, check with your supervisor and you may work from home if it is an option for you. Otherwise use any Public Health Emergency Leave you have available, and once that is used up, use vacation leave if no symptoms - or sick leave if you have symptoms.
Exceptional Circumstances
We recognize that there may be times when employees require additional support that our current policies do not contemplate or accommodate. If you confront a particularly difficult circumstance, Human Resources is available to offer guidance and support. Please email HRCOVID19@coloradocollege.edu for assistance if you have an exceptional circumstance.
Employees Feeling Sick
Employees who are feeling sick should stay home and get well (or go home if illness begins at work). If an employee is experiencing COVID symptoms, please stay home and consider being tested. More information is available here.
